Office Manager + Executive Assistant

In this role, you will manage the day-to-day operations of the office ensuring a professional and trusting work environment for our team and clients. You will also provide administrative support for the office including the President, while also assisting two Vice Presidents with high profile internal and external projects.

What You’ll Enjoy Doing:

  • Supporting accounting needs including; accounts payable/receivables and expense management and reconciliation including QuickBooks and transit check.

  • Coordinating on-boarding of new staff including; training schedule, space allocation, phone, computer, etc.

  • Managing and maintaining employee files and records including staff review schedule.

  • Coordinating birthday and anniversary celebrations.

  • Serve as a liaison with property management, building supers and maintenance vendors including a/c, cleaning, water deliveries, etc. Monitoring and maintaining office equipment; inventory supplies and ordering supplies as needed.

  • Managing Texture and physical magazine subscriptions.

  • Assisting staff with general administrative and operational needs including scheduling and coordination of meetings including AV set-up, etc.

  • Coordinating travel arrangements and assisting with general personal tasks for the President, as needed.

  • Greeting visitors and clients.

  • Managing and appropriately directing incoming communications including calls and mail.

  • Miscellaneous projects.

  • Excellent communication and interpersonal skills; proven ability to take initiative and build strong, productive relationships

  • Demonstrated ability to prioritize multiple tasks in a high paced environment

  • Relevant experience including office management, executive support, human resource, and project management

  • Expectation of complete confidentiality on all business matters

  • Detail oriented

  • Excellent customer service skills

  • Proficient computer skills, including Microsoft Office

  • Comfortable with technology including utilization for day-to-day efficiencies

  • Willingness to learn and to grow with the company
